The challenge

Subway HQ mandated that all franchisees switch their credit card processing to Adyen by a specific deadline or risk being unable to process payments. With over 400 locations in our development territory, our team needed to identify, support, and confirm each store’s compliance within a limited time frame. A failure to act would result in a loss of credit card functionality—a critical issue for any business.

my role

I was responsible for monitoring transition progress across the territory, collaborating closely with the VP of Operations to manage outreach and ensure each franchisee met the necessary requirements

  • Interpreted HQ-generated reports to track completion status.
  • Identified pending and in-progress submissions.
  • Coordinated communications to drive timely compliance.

What i did

  • Maintained and regularly updated an internal tracker to flag franchisees who were incomplete or missing critical information.
  • Personally reached out to store operators, walking them through the Adyen onboarding process.
  • Verified submission of required documents like voided checks and legal business details.
  • Provided hands-on guidance through the Adyen portal to reduce user error and avoid delays.
  • Acted as the liaison between Adyen support and our franchisees for escalated technical issues, ensuring timely resolution and successful account transitions.

The outcome

  • Coordinated the transition for all 400+ franchise locations, achieving near-total compliance and ensuring the majority were fully onboarded ahead of the deadline.
  • Minimized credit card processing disruptions during the migration window by proactively resolving issues and facilitating support for late adopters.
  • Built trusted relationships with both franchisees and the Adyen support team.
  • Strengthened my operational coordination, technical communication, and compliance management skills.
